Getting Started with Stackd

This guide walks you through setting up Stackd and running your first loyalty transaction.


1. Sign up

  1. Go to https://stackdrewards.co.za and click Start Free Trial.
  2. Enter your business name, business email, owner name, owner email, and a password.
  3. Choose Stamps (buy X, get one free) or Points (earn points per Rand spent) — you can add more transaction types and refine this later.
  4. Submit. Your 14-day free trial starts immediately — no payment details, no plan choice at signup.

Signing up does all of this for you automatically:

You land on the Operator POS screen, ready to process your first transaction. There is no separate "configure your programme" step — the defaults work out of the box. Adjust them any time from Admin → Transaction Types & Rewards.

Subscribing to a paid plan happens later, from Billing, once your trial is ending. See the Billing Guide.


2. Print your QR code

  1. In the admin sidebar go to Locations.
  2. Click Download under "Main Location"'s QR code and print it on A4 or A5 paper.
  3. Place it at the counter where customers can scan it with their phone camera.

If you run more than one physical site, add each one here — every location gets its own QR code and check-in link, so customers always check in at the right place and staff can be assigned to the site they work at.

A QR code never changes once generated — print once and use indefinitely (only regenerate if a printed copy is lost or damaged). Each one encodes:

No app required. Customers open the URL in their phone browser. No download needed.


3. Run your first transaction

Your staff process transactions from the Operator POS screen at:

https://stackdrewards.co.za/operator

Bookmark this on the counter device. Staff log in once — the session stays open, so you don't need to log in before every transaction.

Operator side (counter device)

  1. Tap the transaction type (e.g. Purchase).
  2. For points rules, enter the spend amount.
  3. A PIN is generated and shown on the POS screen, with a 90-second countdown.

Customer side (phone)

  1. Customer scans the QR code at the counter.
  2. First visit: they enter their name and phone number or email. Repeat visits: just their phone number or email.
  3. They type in the PIN the operator is showing them on the POS screen.
  4. Their screen confirms the stamp or points awarded.

Once the customer enters the correct PIN, the operator's screen automatically updates to show the completed transaction and the customer's new balance or stamp count. No payment integration required — Stackd sits alongside your existing till.


4. Add operator accounts

Go to AdminStaff. Enter the staff member's name and email and choose a role. They receive an invite email with a link (valid for 7 days) to set their own password — or to sign in with Google when that is enabled. You never see or hand over a password. Until they finish, the staff list shows Invite pending with a Resend invite button.

Operators can also be given a passwordless POS sign-in link (copy it or send it over WhatsApp from the same screen) — handy for a shared till where typing a password is a chore.

If your business only has one location, this doesn't come up — every operator/manager just works at that location. It only matters once you add a second location in Admin → Locations.
